Privacy Policy

This policy explains how Fourmina handles personal data under the UK GDPR and the EU GDPR. It covers our website, our own business records, and the data that flows through the assistants we run for our customers.

1. Who we are

2. Our two roles

We act in two distinct roles:

If you are an end customer of a business that uses Fourmina and you want to exercise your data rights over a call or chat, the business you spoke with is the controller. Contact them first; we will assist them in responding. You can also write to us and we will forward your request.

For each customer's assistant we process, on the customer's documented instructions:

We use this data only to run the customer's assistant and to provide the customer with their conversation history and analytics. We do not use it for our own purposes and we do not use it to train public AI models. The terms of this processing are set out in the Data Processing Addendum.

Conversations with a Fourmina assistant - calls and chats - are transcribed and processed to deliver the service: to understand the request, answer it, and hand the business a record of what was said. This is how the product works, and it is disclosed, not hidden:

We use a small set of vetted service providers, each under a data processing agreement:

8. International transfers

Where a provider processes personal data outside the UK or the European Economic Area, we rely on recognised safeguards: an adequacy decision where one exists, or the European Commission's Standard Contractual Clauses, supplemented by the UK International Data Transfer Addendum for transfers subject to UK GDPR. Copies of the relevant safeguards are available on request.

9. EU representative

KROK GROUP LTD is established in the United Kingdom. Where we offer services to businesses in the European Union and process personal data of individuals in the EU, Article 27 EU GDPR requires us to designate a representative in the Union. The representative's details will be published here once appointed; until then, all enquiries can be addressed to hello@fourmina.com.

10. Security

Personal data is encrypted in transit and at rest. Access is restricted to people who need it to do their job, protected by access controls and logged. We review access regularly. If a personal data breach occurs, we notify affected customers and, where required, the supervisory authority without undue delay.

11. Your rights

Under the UK GDPR and the EU GDPR you have the right to access, rectification, erasure, restriction of processing, data portability, and to object to processing based on legitimate interests. Where processing is based on consent, you can withdraw it at any time. Write to hello@fourmina.com; we respond within one month.

You can complain to a supervisory authority: in the UK, the Information Commissioner's Office (ICO); in the EU, the data protection authority of your country. We would rather fix the problem first, so please contact us before escalating.

12. Automated decision-making

Fourmina assistants hold conversations automatically, but they do not make decisions with legal or similarly significant effects about individuals. Conversations that need a real decision are escalated to a human at the business you contacted.

13. What we do not do

We do not sell personal data. We do not run advertising profiles. We do not use customer data or end-customer conversations to train public AI models.

14. Changes

We update this policy when our practices change. Material changes are announced to customers by email or in the product. The date above shows the current version.
